Employers, Adminstrators, Accounting professionals, can view or make
changes to the company's payroll data. The information available to each of these
users is controlled by the Administator (Level 0). Any other user(s) may have
limited access as defined by the Administrator.
Employees will be able to view reports which are related to his/her data only
Establish a Company Administrator in Pro-Pay
Before any company users can Login to access their payroll
Information, the Payroll Processor must define at least one
Administrator for each Employer/client in WEB USERS menu option
of Pro-Pay as shown below:
The Payroll Processor must issue the initial user Name and Password to the
Employer/client with Access Rights code „0“ This user becomes the COMPANY
ADMINISTRATOR with the rights to add additional web pay users for this company.
The company may have more than one Administrators with code zero. For example
theowner of the company may have administrative rights but may also assign
Administrative rights to the General Manager who will be involved with the daily
operations.
In case, the company is already using WEB-PAY and already have several WEB-PAY
users defined, the Payroll Processor must select one of the existing users and change
his/her Access Rights to „0“ in order to declare one of the users as the Administrator
in the particular company.
Thereafter, the administration of the company's web users becomes the task of the
Employer/client thus
freeing the Payroll Processor of the responsibility and the time required to administer
the company's web users.
All tasks from here on pertain to Employer/Client tasks.
When any COMPANY ADMINISTRATOR (code zero) logs in, the Main Menu will
display an additional button labeled „Users Manager“ as shown below.
Only users with Administrative rights, will see the red button on upper right corner.
This button will enable the Administrator to add additional WebPay users.
On the above image there are 3 WebPay users. Jake and Tim are not Administrators.
User „Benjamin“ IS the Administrator.
For user „Benjamin“ we can see on the left, the „Rights“ column shows „0“ and all other
users column shows „9“ The user „0“ has all the rights as the users „9“ and additionally
such user can assign NEW WebPay users and change their data if necessary.
If we click on „NEW User“ button, the new screen is shown, where the Administrator
can enter data for the new WebPay user:
In the example above the Administrator defines a new WebPay user „Hellen“ with
access right „5“ and the username „Hellen“ and password „Hellen011“.
When user clicks on „?“ a help screen is displayed.
After entering all data (Except database ID which is not editable) and Administrator
clicks on „SAVE User“ button a new WebPay user „Hellen“ is added:
On the image above, we can see that this Employer has 4 departments and the
Administrator checked ALL departments accessible by the user „Hellen“. This will allow the
user „Hellen“ not only to access every Employee from each department, but this user will
be able to SUBMIT the payroll, once the payroll hours is entered.
Any other user, who doesn't have access to ALL departments data, CANNOT submit the
Payroll!
Now, user „Hellen“ has the departments selected for access:
The next time, user „Hellen“ wants to access WebPay, she will enter „Hellen“ for username
and „Hellen011“ for password and she will access client A26 . She will also access the
Payroll entry menu option and she will be able to access all Reports.
Because, the Administrator assigns to her all departments, she will be able to SUBMIT the
Payroll data to the Payroll processor.
ONLY WEBPAY USERS WHO HAVE ACCESS TO ALL DEPARTMENTS DATA ARE
ALLOWED TO SUBMIT THE PAYROLL
EMPLOYEE Login enables the company's Employees to preview certain reports, about
their history and YTD Earnings and W2 forms when available.
The Employee user name is always the 3-character company Id + the the 4-digit employee
number
Example Username: A260999
The initial default password is the employee number + the last 4 digits of the employee's
Social Security number
Example of a default password: 09999876
The very first time the employee tries to log-in using the default password the system will
detect it and force the employee to change the password. Only the employee should know
the password and should not reveal it to anyone including his employer, or the Payroll
Processor.
RESETTING or DISABLING the Employee Access
Resetting the employee Password,or disabling access is managed from the Employee Edit
screen.
Only web-users with Administrative rights (code 0) will see the Reset and Disable buttons
shown below:
If the password is compromised for any reason, any web-user with Administrative rights
may RESET THE WEB PASSWORD to its default value thus forcing the employee to
enter a new password the next time they try to Log-in.
The password can be reset in the „Change Employee“ screen as shown above.
Here we can see that the EMPLOYEE „Hellen, Johnson“ is logged and the only menu option
she can see is the „REPORTS“ option. This is what every EMPLOYEE login will show.
After entering the REPORTS option, the reports selection Menu is displayed as shown below.
Hellen can chose to preview and/or print any of the above reports.
For example, when Hellen selects „Hours Worked Detail“ report, she will see a report
pertaining to HER OWN history, depending on what date span she selects.
