Company Default Values #
When setting up a new employer, it is recommended to configure the Company Default values for vacation and sick accruals in Employer Set-up Page-3. These default values represent the most common entries for most employees and help expedite the setup process for new employees.
Recalculating Vacation and Sick Accrued Hours #
You can recalculate all Vacation and Sick accrued hours by clicking the designated button in Employer Set-up Page-3. This feature is useful when:
- Changes are made to accrual rates
- There is a need to recalculate from the beginning of the year until the last payroll for all employees
Employee Setup #
Accrual Methods #
Method | Description | Use Case |
Never | No accruals are calculated by the program | Prevent sick and vacation from accruing |
Hours Earned per hour worked | Accrual is based on actual hours worked | Grant a certain amount for every hour the employee works |
Annual Hours available | System grants the employee a lump sum of hours at the start of the year | Grant a certain amount that the employee can accrue over the course of a year |
Per Pay check | System accrues the specified number of hours on every paycheck | Grant a certain amount on each paycheck |
Specific Field Instructions #
Maximum Vacation/Sick Hours Allowed #
Enter the number of hours the employee is allowed to earn in a year.
Prior Year Accrued Vacation/Sick Hours #
Used to enter accrued hours from a prior year or system. This amount affects the Maximum Vac/Sick hours allowed based on the “Reset the number of hours per year” setting.
Current Year Accrued Vacation/Sick Hours #
Displays accrued hours in the current year (read-only).
Current Year Vacation/Sick Hours Taken #
Displays hours taken in the current year (read-only).
Start Accruing Vacation/Sick After This Date #
Enter a date to start accruing Vacation hours, useful for implementing waiting periods.
Hours Accrued per Hour Paid #
Automatically calculated based on Maximum Vacation/Sick hours per Year and expected work hours.
Hours Accrued per Pay Check #
Automatically calculated based on Maximum Vacation/Sick hours allowed and pay periods per year.
Additional Settings #
- Allow Accruing over maximum hours per year
- Reset hours each year
- Add hours used to Maximum hours allowed
- Print Vac/Sick Accruals on pay stub
FAQ #
How do Salaried employees earn accrue Vacation or Sick Pay? #
Both Hourly and Salaried Employees accrue Vacation/Sick Hours based on the selected Accrual Method. For Salaried employees, the program uses a standard 40-hour week.
What happens if an Employee works during vacation time? #
You have two options:
- Reduce the Employee Vacation Accrual Rate
- Uncheck the “Allow to accrue over maximum number of hours” box
Troubleshooting #
If you encounter issues with accrual calculations or setup:
- Verify that the correct Accrual Method is selected for each employee
- Check the Maximum Vacation/Sick Hours Allowed setting
- Ensure the Start Accruing date is set correctly
- Review the Reset hours each year and Allow Accruing over maximum hours per year settings
- If calculations seem incorrect, use the Recalculate Vacation and Sick Accrued hours feature in Employer Set-up Page-3
