ProPay allows you to set up default Signatory and Designee information for efficient tax return processing. This article guides you through the process of setting up this information and applying it to all clients.

Setting Up Default Information #

Signatory Information #

  1. Navigate to System Setup in ProPay.
  2. Locate the Signatory Information section.
  3. Fill in the following fields:
    • Signatory Name: Enter the name of the person responsible for signing tax returns.
    • Title: Enter the signatory’s title (e.g., “Owner”, “Accountant”, “CPA”, “Payroll Service Provider”).
    • SSN: Enter the signatory’s Social Security Number.
    • Phone: Enter the signatory’s phone number.
    • Email: Enter the signatory’s email address (required by some tax agencies).

Designee Information #

  1. In the same System Setup area, find the Designee Information section.
  2. Complete the following fields:
    • Designee Name: Enter the name of the person authorized to discuss tax returns with government agencies.
    • Phone: Enter the designee’s phone number.
    • PIN: Enter a 5-digit self-assigned Personal ID Number for the designee.

Applying Information to All Clients #

  1. After entering the default information, locate the “Apply Information to All Clients” option.
  2. Click the appropriate button to apply the Signatory and Designee information to all employers in the system.

Note: This action will not affect employers who have not authorized the payroll processor to sign tax returns.

Setting Up Individual Client Information #

To set up Signatory and Designee information for specific clients:

  1. Go to Client Functions.
  2. Select “Edit Client”.
  3. Navigate to “Tax Filing and Other Information”.
  4. Enter the client-specific Signatory and Designee details.

Troubleshooting #

Issue: Default information not applying to all clients #

  1. Verify that you have clicked the “Apply Information to All Clients” button after entering the default information.
  2. Check individual client settings to ensure they haven’t been manually overridden.
  3. Confirm that the client has authorized the payroll processor to sign tax returns.

Issue: Unable to edit Signatory or Designee information #

  1. Ensure you have the necessary permissions in ProPay to modify this information.
  2. Log out and log back into the system, then try again.
  3. If the issue persists, contact ProPay support for assistance.
