Overview #
This guide will walk you through the process of selecting and configuring printers for use with Pro-Pay, our payroll software. Proper printer setup is crucial for printing checks and reports accurately and efficiently.

Printer Selection #
To select printers for Pro-Pay:
- Ensure you have administrative privileges.
- Navigate to CLIENT FUNCTIONS > SET UP FUNCTIONS > SYSTEM SET UP > PRINTERS.
- Choose the following:
- Check Printer: Select a printer capable of using MICR Toner for payroll checks.
- Reports Printer: Select a separate printer for payroll reports (recommended for improved efficiency).
Printer Configuration #
Check Printer #
- Must be capable of using MICR Toner.
- Use the special MICR toner cartridge when printing payroll checks.
Reports Printer #
- Can be any standard printer.
- Using a separate printer for reports improves processing speed and efficiency.
PDF Printer Setup #
For instructions on installing and using a PDF printer, refer to our guide on “Installing the pdf995 driver”.
Checking Printer Properties #
To check and adjust printer properties:
- Click the Windows Start button.
- Go to Settings > Printers.
- Left-click once on the printer icon, then right-click and select “Properties”.
- Click on the “Graphics” or “Print Quality” tab.
- Set the Print Resolution to 600 DPI for optimal performance with Pro-Pay.
Remote Printing via RDP #
For remote printing scenarios:
- Open Remote Desktop Connection.
- Click “Options”, then the “Local Resources” tab.
- Under “Local devices and resources”, check the “Printers” box.
- Click “Connect” to start the session.
- In Pro-Pay, go to Client Functions > System Set-up Printers and select your local printer(s) for Reports/Checks.
Windows 10 Default Printer Settings #
For Windows 10 users:
- Set the “Let Windows manage my default printer” option to OFF.
Font Installation #
Pro-Pay uses special fonts that are usually installed automatically. If needed:
- From the Pro-Pay Main menu, click “Utilities” > “Install Pro-Pay Fonts”.
- Alternatively, manually install the following fonts from the \Paysoft\PROPAY20\ folder:
- PSOFT.TTF
- TAXTB___.TTF
- TAXDRAW_.TTF
- TAXTEXT_.TTF
For Windows 10: #
- Go to Settings > Font settings.
- Drag and drop the font files into the “Add Fonts” area.
Video Display Settings #
Adjust your display settings for optimal Pro-Pay screen appearance:
- Try settings like:
- 16 Color 640 X 480 Pixels
- 256 Color 800 X 600 Pixels Large Fonts
- True Color – 32 Bit 640 X 480 Pixels Small Fonts
- True Color – 32 Bit 800 X 600 Pixels Large Fonts
- True Color – 32 Bit 1366 X 768 Pixels Small Fonts (Fits more information)
- True Color – 32 Bit 1366 X 768 Pixels Large Fonts (Easier to read)
Troubleshooting #
If you encounter issues:
- Verify administrative privileges.
- Double-check printer selections in Pro-Pay settings.
- Ensure correct fonts are installed.
- Check printer drivers are up-to-date.
- Verify MICR toner is used for check printing.
