Other Pay Screen #
Overview #
The Other Pay screen in ProPay is designed for entering less common payroll entries. This article provides a comprehensive guide on how to use this screen effectively, its key features, and important considerations.
Accessing the Other Pay Screen #
- Open the regular Paycheck screen in ProPay.
- Click on the “Other Pay” button to access the Other Pay screen.
Navigation and Data Entry #
- Use the Enter key to navigate through the screen.
- When you reach (Y)es, pressing Enter will return you to the entry row.
- Press Enter again when finished entering payroll data to return to the main Paycheck screen.
Key Features and Pay Types #
Regular Pay, Overtime, Tips, and Meals #
- Can be entered here, but are typically entered from the main Paycheck screen.
Rates 2-7 #
- Default description that can be customized in “Employer Set Up” – screen 2.
- Can be used for specific pay types like bonuses or commissions.
Other Pay #
- For occasional items such as Christmas bonuses or retroactive pay.
- Uses a user-defined description.
Sick Pay #
- Subject to taxes according to the Federal Tax Guide (Circular E).
Vacation Pay #
- Subject to all taxes.
- Note: For employees working during vacations, consider splitting into two paychecks for better tax withholding.
Holiday Pay #
- Typically used for pay when the employee did not work.
Non Cash – Fringe #
- Examples include taxable free room & board or free use of a vehicle.
Double Time #
- Calculated at twice the regular pay rate.
Important Considerations #
- Pay Rate Override: If you enter the same pay type multiple times, the latest pay rate will override previous entries.
- Job Costing: If the client is set up for “Job Costing,” this becomes the default screen.
Completing Data Entry #
- Click “Done” or press Enter to return to the regular Paycheck screen.
- Review the information for accuracy.
- Click “Accept” to confirm the current paycheck.
Troubleshooting #
Issue: Unable to access the Other Pay screen #
- Solution: Ensure you’re on the regular Paycheck screen before clicking the “Other Pay” button.
Issue: Pay rates not calculating correctly #
- Solution: Check if you’ve entered the same pay type multiple times. The system uses the latest rate entered for all units of that pay type.
Issue: Screen navigation difficulties #
- Solution: Remember to use the Enter key to move through the screen. If stuck, try pressing Enter multiple times to reach the desired field.
