ProPay Magnetic Media File Creation for NYS45MN and NYS45ATTMN #

Overview #

As of the 1st Quarter of 2015, ProPay generates two Magnetic Media files that can be uploaded to the state of New York for electronic filing of forms NYS45MN and NYS45ATTMN. This article provides step-by-step instructions on how to create and upload these files.

Note: This FILE UPLOAD option is only applicable when the Payroll processor impounds all payroll taxes from employers and pays these taxes directly to the state of New York. For reporting wages without paying taxes with the filing, use the NY NYS45 FSET E-filing method.

File Creation Process #

Step 1: Access the File Creation Menu #

  1. Open ProPay software
  2. Navigate to Client Functions => Electronic Processing => Magnetic Media => State Quarterly Filing => NY

Step 2: Generate Files #

Follow the on-screen prompts to create the required files. ProPay will generate two files according to specifications outlined in the following publications:

Step 3: Save Files and Print Summary Reports #

  1. Save the generated files in your \PAYSOFT\PROPAY20 folder
  2. Print out the Summary Reports
    • Note: The top of each report shows the file name of the Magnetic media file and the folder where it was saved

File Upload Process #

Step 1: Access the New York State Department of Taxation and Finance Website #

  1. Go to http://www.tax.ny.gov/online/
  2. Log in to your account

Step 2: Upload NYS-45 File #

  1. Select “Uploads” => “NYS-45 Upload”
  2. Follow the on-screen instructions
  3. Click “Browse” to select the NYS45 file you created earlier
  4. Complete the upload process as directed

Step 3: Upload Wage Reporting File #

  1. Select “Uploads” => “Wage Reporting Upload”
  2. Follow the on-screen instructions
  3. Click “Browse” to select the NYS45ATT file you created earlier
  4. Complete the upload process as directed

Troubleshooting #

If you encounter issues during the file creation or upload process, try the following:

  1. Ensure you have the latest version of ProPay installed
  2. Verify that all required information is entered correctly in the ProPay system
  3. Check your internet connection if you’re having trouble accessing the NY state website
  4. Confirm that the files are saved in the correct location (\PAYSOFT\PROPAY20 folder)
